Guest Policies and Reservation Contract

Please review all policies and reservation terms carefully before completing your booking. By completing a reservation, the guest confirms that they have read, understood, and agreed to the Guest Policies, Cancellation Policy, and Reservation Contract shown on this page.

Mountain Country Cabin Rentals makes every reasonable effort to provide Wi-Fi internet, television, streaming, and cell phone service where offered; however, the availability, speed, and reliability of these services cannot be guaranteed. No refunds will be issued for service interruptions or performance issues.

Rates, property descriptions, bed sizes, furnishings, amenities, and other property details may change without notice. MCCR makes every reasonable effort to keep property information accurate and to maintain amenities and utilities in working order. MCCR and the property owner are not required to provide a refund because of the failure, interruption, or absence of an item, amenity, service, or utility.

Accidental Damage Waiver

This non-refundable fee is in lieu of a damage deposit and covers accidental damage that occurs during your stay. Coverage amounts vary according to the size of the cabin.

ALL reservations made will incur a mandatory, non-refundable fee* of:

  • $39.00 for a 1 Bedroom Property
  • $49.00 for a 2 Bedroom Property
  • $59.00 for a 3 Bedroom Property
  • $69.00 for a 4 Bedroom Property
  • $79.00 for a 5 Bedroom Property
  • $89.00 for a 6 Bedroom Property

*Pre-tax, taxes will be added based on local ordinance.

For 1 to 5 bedroom cabins, the fee will assist you up to $500.00 in accidental damages. For 6 bedroom cabins, the fee will assist you up to $1,000.00 in accidental damages.

Damages must be reported to the office as soon as they are discovered and no later than checkout. Damages not reported will not be covered by the Accidental Damage Waiver. If damages are not reported to Mountain Country prior to checkout and the damage is found post-checkout, the guest will be charged in full for the property damage found.

The Accidental Damage Waiver is non-refundable and does not cover intentional damage, negligence, missing items, unauthorized pets, smoking, or additional cleaning required because of misuse or excessive mess.

Cancellation Policy

All cancellations must be submitted to the MCCR office and are effective on the date and time MCCR receives them. Cancellation deadlines are measured from 4:00pm Eastern Time on the scheduled check-in date. A reservation for a cabin with a five day deadline must be cancelled no later than 4:00pm Eastern Time five days before the check-in date.

Refund tiers are determined by the number of bedrooms listed on the property page at the time of booking. Lofts, bonus rooms, sleeping areas, and total guest occupancy do not change the bedroom count.

  • One to four bedroom cabins. Cancel at least five days before check-in and the full amount paid will be refunded, including the reservation fee, cleaning fee, pet fee, and taxes. Cancellations made fewer than five days before check-in are non-refundable.
  • Five bedroom and larger cabins. Cancel at least seven days before check-in and 50% of the total amount paid will be refunded, calculated on the full reservation total including the reservation fee, cleaning fee, pet fee, and taxes. Cancellations made fewer than seven days before check-in are non-refundable. No exceptions will be made due to cabin size and demand.
  • Accidental Damage Waiver. The Accidental Damage Waiver fee and the tax on it are non-refundable and are not included in any cancellation refund.
  • Deposits. The $200.00 booking deposit is part of the amount paid and is refunded on the same terms as the rest of the reservation.
  • Early departures and no-shows. No refunds, credits, or reschedules will be issued.
  • Storms, weather, and road conditions. No refunds will be issued.

Date changes. Changing the arrival or departure date of a confirmed reservation is treated as a cancellation and a new booking, and the cancellation policy above applies to the original reservation. Date changes are subject to availability, and the new dates are subject to the rates and minimum stay requirements in effect for those dates.

Refund processing. Approved refunds are returned to the original payment method within 10 business days of the cancellation.

Cancellations by MCCR. If a cabin becomes unavailable before arrival because it is sold, withdrawn from our rental program, damaged, or otherwise unfit for occupancy, MCCR will offer a comparable cabin for the same dates when one is available. If no comparable cabin is available, or the guest declines the alternate cabin, the full amount paid will be refunded. This refund is the sole remedy, and MCCR is not responsible for travel costs, lost time, or other expenses.

Once a reservation enters its non-refundable period, no refund, credit, or reschedule is available for any reason. This includes illness, accidents, family emergencies, severe weather, Acts of God, Force Majeure, pandemics, travel restrictions, and other unforeseen circumstances. If you are concerned that you may need to cancel, we strongly encourage you to purchase third-party travel insurance at the time of booking.

Check-in is after 4:00pm EST. For arrivals after 5:00pm, your welcome packet will be available in the Late Arrivals Box at the main entrance. If your cabin requires a key, it will be placed in a lockbox using the code provided.

Check-out is at 10:00am EST. If your cabin is not keyless, all keys must be returned to the MCCR office at check-out.

All cabins are non-smoking. Smoking and/or Vaping are NOT permitted inside of the cabin. If you must, please do so outside and dispose of any debris properly (do not throw on the ground).

Illegal drugs of any kind are prohibited. This includes inside and/or outside of the cabin.

Renter age. The primary renter must be at least 25 years old. We do not rent to vacationing students or guests under age 25 unless they are accompanied by a parent or adult guardian.

Pets are not permitted unless prior approval has been arranged. A $50.00 fee per pet applies.

Payment. A valid credit card is required to make a reservation. Reservations made fewer than 30 days before arrival are charged in full at booking. Reservations made 30 or more days before arrival require a $200.00 deposit at booking, with the remaining balance charged 30 days before arrival. Checks are accepted for reservations made 30 or more days before arrival and must be payable to Mountain Country Cabin Rentals.

There is no daily maid service. Bed linens and bath towels are provided in the cabin. Daily housekeeping may be available for an additional charge. No towels or linens are to be taken from the cabins.

Departure checklist. Before leaving the cabin, please start one load of laundry, place all dishes in the dishwasher and start it, bag all trash and place it in the designated outdoor trash cans, and return all keys to the MCCR office unless the cabin is keyless.

Rates. Rates are subject to change without notice.

Hot tubs. No children under the age of 12 are permitted in hot tubs at any time. Guests use hot tubs at their own risk. Do not sit, stand, or place heavy objects on hot tub covers, and guests may be charged for damage to a hot tub or hot tub cover.

Hot tub safety. Pregnant women should avoid using hot tubs. Guests with high blood pressure, heart conditions, or other medical concerns should consult a doctor before using a hot tub. Alcohol, drugs, and certain medications may create serious risks when combined with hot tub use. Do not place soap, bath products, oils, chemicals, food, or other substances in the hot tub. A minimum $75.00 cleaning and filter replacement fee will be charged if soap or another unauthorized substance is placed in the hot tub. This fee applies to outdoor hot tubs and does not apply to indoor whirlpool tubs. Hot tubs use ozone and a small amount of chlorine for sanitation and must run continuously. Do not enter a hot tub that is not running or has been turned off.

Storm policy and road conditions. Mountain roads may be steep, narrow, and curvy. Four-wheel drive vehicles or tire chains are recommended during snowy or icy conditions. No refunds will be issued because of storms, weather conditions, or road conditions.

Fireplaces. Fireplaces are available for seasonal use from October 1 through April 1. Do not cook food, roast marshmallows, roast hot dogs, or make s'mores in gas-log fireplaces. Use the fire pit outside if the cabin offers one.

Firewood. Guests are responsible for purchasing firewood for wood-burning fireplaces inside the cabin and fire pits outside the cabin.

Arrival inspection. Please inspect the property immediately upon arrival and check the condition and operation of the furnishings, appliances, utilities, and amenities, including the hot tub temperature. Report any problems to the MCCR office promptly so we can make a reasonable effort to address them. Problems reported during evening or overnight hours may not be repaired until the following day or until an appropriate service provider is available.

Damage, cleaning, and additional charges. The guest agrees to be personally responsible for all charges related to the reservation and stay. This includes the cost of repairing or replacing damaged or missing property and any additional cleaning required because of misuse, excessive mess, unauthorized pets, smoking, or other conditions beyond normal use.

Check-out agreement. The guest agrees to vacate the property no later than 10:00am EST on the scheduled departure date. If the guest does not check out on time, management reserves the right to enter the property, pack the guest's belongings, and move them to the MCCR office, where they will be available for collection. MCCR and the property owner assume no responsibility for loss of or damage to belongings that must be moved because the guest failed to check out on time.

Property rights and management. The property is privately owned. Management reserves the right to refuse service to anyone when permitted by law.

All cabins are privately owned. MCCR and the property owner are not responsible for any accidents, injuries, or illnesses that occur on the property or its facilities. MCCR and the property owner are not responsible for lost, stolen, or damaged personal belongings, money, jewelry, or valuables.
